Refund Policy

We want every engagement with Alethevia to feel fair. This policy explains when refunds are available and how to request one. The full terms of any engagement are governed by the applicable Statement of Work (SOW), Project Agreement, or these Terms of Service (as applicable).
1. Paid consultations (60-minute sessions)
1.1 Cancellation by Client
- More than 48 hours before the scheduled session: Full refund, or option to reschedule at no charge.
- Within 48 hours of the scheduled session: No refund, but one free reschedule within 30 days is offered as a courtesy.
- No-show: No refund and no reschedule.
1.2 Cancellation by Alethevia
If we cancel or reschedule a session for any reason (illness, technical issue, emergency), you will receive either a full refund or a free rescheduling of equivalent length, at your choice.
1.3 Satisfaction guarantee
If, at the end of a paid consultation, you believe the session did not provide meaningful value, contact us within 7 days at hi@alethevia.com with a brief explanation. We will review the situation in good faith and issue a refund at our discretion. This guarantee is offered once per client.
2. Custom projects (video production, interactive explainers, content systems)
2.1 Deposit
Custom projects typically require a 50% deposit to reserve our time and begin work. The deposit covers initial planning, research, scripting, and concepting. The deposit is non-refundable once work has begun, except as described in 2.2 and 2.3.
2.2 Cancellation by Client before work begins
If you sign a Project Agreement, pay the deposit, but cancel before we have begun any substantive work, a refund of the deposit less a 10% administrative fee will be issued within 15 business days.
2.3 Cancellation during project
- If you cancel during the project, we will invoice for work completed up to the cancellation date, calculated on a pro-rata basis from the total agreed fee. Any deposit funds exceeding work completed will be refunded.
- If we cancel during the project (for a reason other than Client's breach), we will refund all fees paid for work not yet delivered.
2.4 Delivery and approval
Each project has defined deliverables and revision rounds as specified in the SOW. Once Client has approved final delivery (or 14 days have passed after delivery without substantive feedback), the project is deemed accepted and no refund will be issued for that engagement.
2.5 Disputes
If there is a genuine dispute about whether a deliverable meets the SOW's quality or scope standards, both parties agree to first attempt good-faith resolution (including reasonable additional revisions) before any refund claim.
3. Recurring or retainer engagements
Retainer engagements may be canceled with 30 days' written notice. No partial-month refunds are issued; the retainer covers the current month in full.
4. How to request a refund
To request a refund, send an email to hi@alethevia.com with:
- Your name and the email used for the booking or engagement
- The booking confirmation number, invoice number, or ticket number
- A brief description of your reason for requesting a refund
We will respond within 5 business days.
5. How refunds are processed
- Approved refunds are issued to the original payment method
- Refunds typically appear in your account within 5–10 business days, depending on your payment provider
- For credit/debit card refunds, Stripe processing fees are not recoverable by Alethevia; however, this does not reduce the refund amount issued to you
- International refunds may be subject to currency conversion differences outside our control
6. Chargebacks
If you have a concern about a charge, please contact us first at hi@alethevia.com. We will work with you to resolve the issue quickly. Filing a chargeback without first attempting resolution may result in our permanent decline to do future business together.
